Create a Retell account at retellai.com

Sign up and create a new agent. Choose "Custom LLM" as the AI backend — that's how we connect.

Set the Custom LLM Webhook URL

In Retell dashboard → your agent → "Custom LLM" tab, paste this URL:

Choose your AI voice

Retell has built-in voices. Pick a warm, professional female voice. Set language to English (UK).

Configure call settings

Set the phone number to ring (your clinic's number for real use, or your own for testing). In test mode, Retell gives you a virtual number to call.

Test the call

Use Retell's built-in test caller to call your agent. You'll hear the AI answer with our dental persona — "Hello, welcome to Bright Smile Dental."

The dental persona is pre-configured — no extra setup needed on Retell.

📋 Retell Response Format

Retell sends us: { messages: [], call_id, status }

We return: { response: string, response_name: "Reception", action: "continue" | "end" }

Important: The call auto-ends when the booking is confirmed. If the caller hangs up early, Retell stops sending requests and the session ends naturally.

Create a Synthflow account at synthflow.ai

Create a new voice assistant. Choose "API Integration" or "Webhook" as the backend type.

Set the Webhook URL

In Synthflow → your assistant → "Webhook" section, paste this URL:

Upload the dental persona prompt

In the "System Prompt" or "Instructions" field, paste the dental persona from lib/dental-persona.js in the codebase. We auto-load this for web demos — Synthflow needs it explicitly set.

Test with the web demo first

Use /voice-demo to test the booking flow before connecting to a real phone line.

📅 Calendar Integration

Demo mode: The calendar is mocked in-memory. Slots are available 9am–5pm weekdays, excluding lunch.

Production: Replace lib/calendar-service.js with a Google Calendar API integration using Polsia's MCP. BookLoop supports reading and writing real Google Calendar events.

Google Calendar requires connecting your Google account to Polsia. Contact support to enable this for your account.

🔧 Customising the Persona

Edit lib/dental-persona.js to change the clinic name, services, voice style, or booking flow. The AI prompt and services list are all in this one file.
